JOB TITLE: Technical Services Administrative Assistant
LOCATION: IRTC Sub-Office, Headingley, MB
TERM: ASAP – March 31, 2025 (with possibility of renewal)
SALARY: Based on experience
Reporting directly to the Technical Services Manager, the Technical Services Administrative Assistant will work in a team-based environment supporting the Technical Services Department in the service delivery of the program by performing clerical and administrative duties and activities. The Technical Services Administrative Assistant will be responsible to prepare correspondences, office scheduling, meeting minutes, meeting agendas, and respond to day-to-day inquires for Technical Services Department.
Duties include, but not limited to:
• Support and assist the Technical Services team with performing administrative tasks, scheduling, and organizing meetings, appointments, and program activities.
• Responsible for the maintenance and management of files and documents.
• Review and prioritize incoming correspondence directed to the Technical Services Manager, reroute or photocopy as appropriate and/or attach pertinent files or related correspondence.
• Assist the Technical Services Manager with program delivery planning, coordinating, and reporting through administrative supports.
• Coordinate the logistics for meetings, events, and conference calls for the Technical Services Manager and records meeting minutes.
• Receive, distribute, and file incoming letters, documents, personnel records, communications, and reports for health department using an efficient secured filing system.
• Answer basic telephone and emails and redirecting telephone calls and messages to appropriate staff.
• Establish and maintain excellent working relationships with IRTC Technical Services staff, and IRTC’s administrative support staff.
• Perform other duties as assigned by the Technical Services Manager.
QUALIFICATION:
• Grade 12 diploma and minimum completion of one-year college program in Office Administration or a combination of education and work experience in a related field.
• Familiar with Technical Services programs an asset.
• Proven ability to maintain a high level of confidentiality.
• Must have excellent oral and written communication skills.
• Must have experience using computers to develop various documents (letters, reports, spreadsheets, databases, etc.)
• Must be able to work overtime hours if needed.
• Must have a class 5 driver’s license, reliable vehicle, and ability to travel.
• Must be able to provide a Criminal Record Check.
• Ability to speak and understand Saulteaux/Ojibway an asset.
