JOB TITLE: Jordan’s Principle Administrative Assistant
LOCATION: IRTC Sub-Office, Headingley, MB
SALARY: Based on education and experience
START DATE: ASAP- March 31, 2025 (renewal subject to continued funding)
Job Description:
Reporting to Jordan’s Principle Service Coordinator, the Administrative Assistant’s main focus is to provide administrative support to the IRTC Jordan’s Principle team. Duties include, but not limited to:
• Answer and direct Jordan’s Principle telephone calls and emails to appropriate staff
• Greet all walk-ins and re-direct accordingly
• Handle all incoming/outgoing mail and pick-ups
• Review and prioritize incoming correspondence directed to the Jordan’s Principle team, reroute or photocopy as appropriate and/or attach pertinent files or related correspondence
• Schedule, update and communicate reminders of scheduled meetings, speaking engagements and appointments for the Jordan’s Principle team
• Maintain organized filing system
• Maintain an office calendar and booking schedule for the Jordan’s Principle team
• Coordinate and schedule meetings, workshops, conferences
• Draft, prepare, format, collects and distributes a variety of word documents, correspondences, memos, and reports
• Coordinate the logistics for meetings, events, and conference calls for the Jordan’s Principle team
• Ensures appropriate follow up on tasks and assignments delegated by the Jordan’s Principle team
• Arrange travel plans, including hotel arrangements for the Jordan’s Principle team
• Receive, distribute, and file incoming letters, documents, personnel records, communications, and reports using an efficient secured filing system.
• Perform other duties as assigned by the Jordan’s Principle team
Qualifications:
• Grade 12 Diploma or equivalent
• Two years reception experience
• Proven ability to maintain a high level of confidentiality (reference required)
• Must have experience using computers to develop various documents (letters, reports, spreadsheets, databases, etc.)
• Must be able to work overtime hours if needed
• Must have a class 5 drivers license, reliable vehicle, and ability to travel
• Must be able to provide a Criminal Record Check
• Ability to speak and understand Saulteaux/Ojibway an asset
